TERMS & CONDITIONS

Terms and Conditions for Wooducation.

Prior to any event that is booked with Wooducation, the customer must sign a

booking form in which they agree to Wooducation's Terms & Conditions.

1. Payment

​

1.1 Payment is due in full at the time of booking. This payment is made via Wooducation's online payment platform, using a credit or debit card. There is no booking fee for using the payment platform.

1.2 Wooducation reserves the right to cancel the event if payment has not been received in full.

1.3 Events booked through third party websites are subject to the third parties Terms & Conditions. Wooducation are not liable for issuing refunds on behalf of third party ticket providers and the customer will be subject to the third party refunds and cancellation policy.

2. Inclusions

​

2.1 Wooducation will supply all activity equipment and instructors, venue costs, event management and public liability insurance of £5,000,000. Food is not included in the event unless specified.

 

3. Substitution

​

3.1 Wooducation reserves the right to substitute a comparable activity for another in the event of equipment failure, ill health or circumstances beyond its reasonable control.

 

4. Drugs and Alcohol

​

4.1 Wooducation will refuse participation to guests who are believed to be under the influence of drugs or alcohol. No refund will be made in such circumstances.

 

5. Company Authority

​

5.1 Wooducation recognises the authority of the company’s event manager/event leader, understanding that they may take any decision they regard as necessary to ensure the health, welfare and safety of those taking part in the event.

 

6. Changing Dates

​

6.1 Wooducation will make every effort to change the event date when requested. If a new date is not available and the reason for changing the initial booking is down to the customer, then a non-refundable fee stated in section 7.2 will be applicable.

6.2 Wooducation reserves the right to change dates for any event listed. A minimum of 48 hours notice will be given to participants with bookings for a scheduled event.

7. Cancellation

​

7.1 Events booked directly through Wooducation: If an event is cancelled after booking confirmation, a non-refundable administration fee of £50 will be withheld from the refund of the total amount paid.

7.2 Wooducation ask customers to give at least 48 hours notice of cancellation.

7.3 If Wooducation cancels an event due to ill health or reasons beyond the companies control a refund for the full amount will be given to the customer. Refunds will be processed within 10 working days. No liability for any costs or expenses incurred by the customer are accepted by Wooducation in the event of cancellation or postponement.

7.4 Cancellation from bookings through third party sites will be subject to the third parties cancellation policy.

 

8. Change in number of attendees

​

8.1 The maximum number of participants is set out on the event information page. The number of participants attending on the day must not exceed this number, unless otherwise agreed in writing prior to the event with Wooducation.

8.2 If less participants attend on the day, this will not qualify the event for a discount on the fee paid.

8.3 Where an event is run at a third party venue that is subject to general admission fees, any attendees that exceed the maximum amount of participants allowed for an event, must purchase separate admission tickets on the day, or in advanced from the third party venue directly.

8.4 Additional attendees will not be able to join the event, but may be allowed to spectate or explore the venue and associated attractions whilst the event is in progress.

 

9. Force Majeure

​

9.1 Wooducation may postpone the event where forces outside of the company’s control such as bad weather, acts of terrorism or other events which cannot be reasonably mitigated against, impact the running of the event. No liability for any costs or expenses incurred by the customer are accepted by Wooducation in the event of cancellation or postponement.

 

10. Weather

​

10.1 When rain or snow is forecast, Wooducation will use extra tarps or shelters. Wooducation will use a Met Office forecast 48 hours prior to the event to determine whether the event should proceed. The event will take place unless it is deemed unsafe to do so by the Event Manager, and if this is the case, an alternative date will be arranged or a full refund provided.

 

11. Liability

​

11.1 The customer is liable for loss or damage caused by guests whilst on the event to equipment supplied by the company but limited to the amount of the company’s insurance excess.

11.2 The customer is liable for any loss or damage to personal belongings whilst on the event.

11.3 Customers must accept that event sites come with inherent risks, they must listen to all health and safety advice given by Event Managers and Leaders. Wooducation will only accept liability for injury to a client where negligence on our part is proven.

 

12. Health and Safety

12.1 It is the customers responsibility when booking to ensure that all participants of the group are fit enough to cope with the activity and the environment associated with your booking. Customers must inform us on the booking form of any disabilities or medication required by any of the participants. Participants must inform the Event Manager or Leader immediately if they feel unwell and make appropriate arrangements. Participants must adhere to the instructions, guidance and decisions of our Event Leaders.

12.2 Level access to sites must be discussed in advanced for specific venues.

12.3 Wooducation events adopt a no smoking policy.

 

13. Parental Consent

​

13.1 Where participants are under the age of 18 and not accompanied by their legal parent(s) or guardian(s), the supervising adult(s) who make the booking are fully responsible for the children, and have an obligation to confirm any medical conditions, medication or dietary requirements. The responsible adult(s) are also responsible for sharing the T&C with other parents and guardians.

13.2 No participants under the age of 18 are to attend any event without an adult or supervising adult.

 

14. Photographs, Marketing and Social Media

​

14.1 Photographs and videos may be taken by Wooducation Staff during your activity for marketing purposes. A selection of these will be uploaded to our social media sites and may be used for other marketing purposes and publications. It is our policy to retain the anonymity of our customers, we therefore never identify any group or person by their name or location. Wooducation will always get verbal permission to use content for marketing or social media purposes.

 

15. Complaints


15.1 If whilst attending a course run by Wooducation, should a customer feel that there is cause for complaint, this matter should be discussed directly with a representative of Wooducation during the course of an event. This should ensure that any corrective measures, if necessary can be undertaken. Should a customer deem it unnecessary to complain at the time, but decide to complain after the event, then this should be made in writing within 28 days. Any complaint made after this period Wooducation will not be compelled under English law to pursue this matter. Any complaints received within the 28 day period will be responded to within a further 28 days.

 

16. GDPR

​

16.1 Wooducation will not share any personal data collected from our online booking platform. All personal details, emails, addressed, names and payment details will be kept in the secure booking system in line with GDPR.

16.2 Only emails entered onto Wooducation's mailing list will be used for marketing purposes.

16.3 Wooducation may ask for customer feedback and will get written permission to use any statements issued on the website.
